Managing Product Multi-Rates
The Multi Rates module allows you to create flexible pricing tiers (such as small, medium, large, or short rates) and assign them to your products. This feature is highly useful for offering special pricing to specific customer groups, running limited-time offers, or managing bulk item pricing.
This guide will walk you through creating new multi-rates and assigning them to your inventory using both single and bulk assignment methods.
**[Image: Overview of the Multi Rates dashboard showing the two main tabs]**1. How to Create a New Multi-Rate
Before you can assign special pricing to a product, you first need to define the rate categories.
- Navigate to Products > Multi Rates from your main dashboard menu.
- Ensure you are on the Multi Rates tab. Here, you will see a list of your existing rates (e.g., large, medium, small).
- Click the blue Create Multi Rate + button located in the top right corner.
- A pop-up window will appear. Fill in the following details:
- Multi rate name: Enter a unique identifier for the rate (e.g., "short").
- Display name / Display name 2: Enter the names you want to appear on the frontend or customer-facing displays (optional).
- Click the green Save button. A success message will confirm the rate has been added to your list.
Managing Existing Rates
From the main Multi Rates list, you can easily toggle the Status of a rate on or off. If a rate is switched off, it will no longer be available for assignment. You can also use the Action buttons to Edit or Delete existing rates.
2. Assigning Multi-Rates to Products
Once your rates are created, switch over to the Assign Multi Rate tab to apply these pricing structures to your inventory.
Filtering and Finding Products
Use the top filter bar to locate the exact products you want to modify. You can filter by:
- Branches: Select specific store locations.
- Product Category: Choose a specific category (e.g., Cleaning & Chemicals) or select "All".
- Product & Unit: Pick a specific item and its measurement unit.
- Multirate & Groups: Filter by existing assigned rates or customer groups (e.g., Cash Customer).
- Barcode Scan: Instead of manual selection, simply scan an item's barcode to pull up its record instantly.
Method A: Detailed Individual Assignment (Assign Multi Rate +)
Use this option to set specific, granular pricing for all rate tiers on a single product.
- Click the Assign Multi Rate + button.
- Select your Product, Units, Branches, and Customer Groups from the dropdowns.
- Review the Purchase Rate and Old Sale Rate for reference.
- In the pricing grid below, you will see fields for all your active Multi-Rates (e.g., small, medium, large, short). Enter the price for each tier.
Note on VAT: You can enter the price directly. If you enter a price without VAT and then specify a "Retail Price With VAT" amount, the system automatically calculates the tax inclusive/exclusive values for you. Furthermore, as you input prices, the system will automatically calculate your Margin. - Set Validity (Optional): If this rate is a limited-time offer, toggle the Validity switch to ON. Select an end date from the calendar. Once this date passes, the multi-rate will automatically switch off.
- Click Save.
Method B: Bulk Assignment (Assign Multiple +)
Use this option when you want to apply the same rate rules to many items or categories at once.
- Click the Assign Multiple + button.
- Select multiple Categories, Products, Units, and Branches simultaneously.
- Assign them to a specific Group (e.g., Cash Customer).
- Choose where the base price is taken from (e.g., Sales or Purchase).
- Apply a bulk Price Percentage (%) or a flat Price to all selected items.
- Set an optional Validity date.
- Click Save to apply the changes across all selected products.
3. Advanced Tools & Tracking
- Offer Validity Filtering: On the left side of the main "Assign Multi Rate" screen, you can use the Validity dropdown filter. This allows you to quickly view products with active promotions based on their expiration dates (e.g., Today, Yesterday, Last 7 Days, Last 30 Days, or Custom Date ranges).
- Excel Import & Export: If you prefer managing large catalogs in a spreadsheet, you can use the Export Excel button to download your current rates. Make your changes in Excel, and use the Import Excel button to update your system in bulk.
