Managing Product Units

Product Units define the measurement or packaging type for your inventory items (such as pieces, gallons, trays, or specific weights like 100gm). This documentation will guide you through viewing, searching, and creating new product units within your system.

1. Navigating to the Product Units Module

To manage your product units, you first need to access the correct module from your main dashboard.

  1. Log in to your AiPSoft dashboard.
  2. On the left-hand navigation menu, locate and click on the Products section to expand the dropdown menu.
  3. From the expanded list, click on Product Units.

2. Viewing and Searching Existing Units

Once you open the Product Units module, you will see a table displaying all currently configured units.

  • The Data Table: The table outlines the Unit Name, Unit Name Short, various language translations (Lang, Lang Short, Lang Long), Order Number, and a toggle showing if the unit is visible on the POS (Point of Sale).
  • Searching: Use the Search bar located above the table to quickly find a specific unit (e.g., type "PCS" or "Tray").
  • Pagination: If you have many units (e.g., over 30 entries), use the pagination controls (Previous, 1, 2, 3, 4, Next) located at the bottom right of the table to navigate between pages.

3. Creating a New Product Unit

If you need to define a new type of measurement or packaging for your items, you can create a new unit directly from this screen.

  1. Click the blue Create New Unit + button located at the top right corner of the screen. A new configuration window will appear.
  2. Enter the Unit Name (e.g., "PCS" or "Box"). Note: This field is mandatory.
  3. (Optional) Enter the Unit Name Short. While not strictly required, adding an abbreviation helps keep your displays concise.
  4. (Optional) Fill in the localized names if your system supports multiple languages (Unit Name Lang, Lang Short, Lang Long).
  5. Enter the Order Number. Note: This field is mandatory. The order number dictates the sequence in which this unit appears in dropdown menus when creating orders.
  6. Set the Show on POS toggle. Switch this ON (green) if you want this unit to be selectable by cashiers at the Point of Sale. Leave it off if it is only for backend inventory management.
  7. Review your details and click the green Save button to finalize.

💡 Helpful Tips & Error Handling

  • Preventing Duplicates: The system ensures data integrity by preventing duplicate unit names. If you attempt to save a unit that already exists in the database, a red "Unit Already Exist!" warning will appear at the top of the window, and the record will not be saved.
  • Best Practice: Always use the search function before adding a new unit to verify it hasn't already been created by another user.
