How to Transfer Stock Between Branches

The Stock Transfer feature allows you to seamlessly move inventory from one branch to another. This ensures your stock levels remain accurate across all your physical locations. Follow the steps below to create and manage an inventory transfer.

Important Prerequisite Before initiating a transfer, ensure that the product you wish to transfer already exists in the product lists of both the source and destination branches. If the product is not registered in the receiving branch, the system will not allow the transfer.

1. Navigating to the Stock Transfer Menu

  1. Log in to your dashboard.
  2. On the left-hand main menu, locate and click on Adjustments.
  3. From the dropdown menu, select Stock Transfer.

2. Understanding the Inventory Transfer Screen

Upon opening the Stock Transfer page, you will see a list of all previously executed stock transfers.

  • Filters: You can quickly find past transfers using the filter drop-downs at the top of the list, such as Branch From, Branch To, and Status.
  • Adding a New Transfer: To start a new transfer, click the Add New button (typically represented by a + icon) located at the top right of the screen.

3. Filling in the Transfer Details

After clicking "Add New," a new voucher form will open. The voucher or purchase number is auto-generated continuously by the system. Fill out the header details as follows:

  1. Branch From: Select the origin branch (where the stock is currently located).
  2. Date: Select the effective date of the stock transfer.
  3. Branch To: Select the destination branch (where the stock is going).
  4. Search Product Type: Optionally, filter the type of items you are transferring (e.g., All, Non-Stock, Goods, Service).
  5. Remark: Enter any optional notes or reasons for the transfer in the Remark field.

4. Adding Products to the Transfer

Scroll down to the Product tab to specify which items are being moved.

  1. Click on the empty product row under the Name column.
  2. Search and select the product you wish to transfer from the drop-down list.
  3. Move to the Qty Transfer column and type in the exact quantity you are moving.
  4. To add more products, simply click on the next empty row below and repeat the process.

5. Saving and Verifying

  1. Once all products and quantities are added correctly, click the blue Save button at the bottom of the form.
  2. A green success message saying "Stock Transfer Created Successfully" will appear at the top of the screen.
  3. You will be redirected back to the main Inventory Transfer list. If needed, refresh the page to see your newly created transfer record displayed at the top of the table.

Tip Always double-check the "Qty Available" column before confirming your transfer to ensure the source branch has sufficient stock to fulfill the movement.
